Companies with high print volumes and an above-average number of devices Reducing printing costs means reducing the number of devices and printing behavior. Guidelines can enable extremely high savings potentials. The printer technology must be checked and standardized. high investments for a new equipment park and guidelines pay off very quickly and save a lot of money.

Despite the paperless office in companies, printing costs have not fallen, but rather risen. A standardization of the entire printer landscape in the company, including a corresponding service contract, reduces costs in the long term.

The use of department or floor printers makes sense, even if they bring more movement into everyday company life. The testing and standardization of the printing behavior is also important (default settings: double-sided printing, black and white printing, extra release with PIN before printing). One goal can be the introduction of a Managed Print Services (MPS).

case studies

  • A service company reduced its printing costs by 56 percent by bidding on only one supplier for a printer brand.
  • A production and trading cooperative wanted to outsource its complete print management, including the machinery, to a full-service provider. Corresponding software was the core of the tender. A total of over 300 individual printers and copier systems were put to the test. It was important that this service functioned smoothly and integrated throughout the site network. By awarding the contract to a service provider who met the requirements, the printing costs could be reduced by around 50 percent and energy costs by 40 percent.
  • An industrial company was looking for a provider throughout the EU who would provide cost-optimized individual billing, new printers, software and full service. This saved around 15 percent.
  • A very large network of dealers had a large print volume of almost 150,000 pages per month at its main location, which generated high costs for rent, maintenance and consumables. By comparing full-service providers, in which above all the running costs of the individual print jobs were checked, the printing costs could ultimately be reduced by around 40 percent. In the case of energy, it was even almost 80 percent.
